Privacy information for coaching applications

Data, purpose and legal basis
The application form asks for your identity and contact details, training situation, goals, availability and expected coaching investment. These details are used to assess your request, reply to you and, if there is a fit, prepare a coaching proposal. The legal basis is taking steps at your request before a possible contract (GDPR Article 6(1)(b)). Basic technical security and abuse prevention rely on legitimate interests (Article 6(1)(f)).
Recipients and service providers
The application is delivered directly to Thomas by email. The website is hosted by Vercel and email delivery is handled by Resend. Those providers process only the data needed to host the form, deliver the message and protect their services. The public website does not intentionally publish the submission or save it in a public database.
Where a provider processes data outside the European Economic Area, its applicable transfer safeguard may include an adequacy decision or standard contractual clauses.
Retention
If no coaching relationship begins, the application will normally be deleted within 12 months. If you become a client, relevant correspondence may be retained for the duration of the relationship and any longer period required for accounting, contractual obligations or legal claims.
Your rights
You may request access, correction, deletion or restriction of your personal data, and may object where processing relies on legitimate interests. You may also lodge a complaint with the Belgian Data Protection Authority. No solely automated decision is made from this form.
